GST invoice rules and IRD compliance

Ensuring your invoices meet IRD standards is the first step to a smooth tax year. Our generator follows the strict requirements of the GST Act 1985.

Sole Trader Example

Contract Labour Invoicing

A plumber completes a job at $80/hr for 10 hours. He uses the generator to list "Labour" at $800. The tool automatically adds $120 GST (15%). He downloads the PDF, sends it to the client, and keeps the itemized record for his 2-monthly filing. Contractors can also read GST for contractors basics.

Small Business Example

Mixed Supply Invoices

A web agency invoices for "Website Hosting" ($50/mo) and "Consulting" ($150/hr). By listing these as separate line items, they provide a professional breakdown for their client, ensuring the client's own bookkeeper can easily claim the input tax credit.

Taxable supply information by value

From 1 April 2023 IRD uses taxable supply information (you can still title the PDF “Tax Invoice”). Source: IRD taxable supply information.

Value of supply (incl. GST) What you must do
$200 or less You do not have to give the buyer taxable supply information. Seller and GST-registered buyer must still keep records (name, date, description, amount).
More than $200 up to $1,000 Provide taxable supply information: seller name, date, description, total payable, seller GST number, and a clear GST amount or a statement that GST is included.
More than $1,000 All of the above, plus information that identifies the buyer. Show exclusive amount, GST, and inclusive total (or equivalent).

This generator includes buyer name and address fields so invoices over $1,000 can meet the buyer identification rule.

Why use this generator instead of Excel?

Static Word or Excel invoice files often miss mandatory IRD fields or miscalculate 15% GST. This page is the single invoice tool for GSTCalc.nz:

  • Correct maths: Automatic 15% GST on every line.
  • IRD fields: Tax Invoice label, GST number, buyer details for higher values.
  • PDF export: Download and send without a desktop template file.

For GST add/remove on a figure, use the GST calculator. To register, see how to register for GST. Common invoice mistakes are covered in 10 common GST mistakes in NZ.

Invoicing FAQ

Is this an online tax invoice creator for NZ?
Yes. This tool is a dedicated online tax invoice creator for NZ. It is designed specifically for New Zealand businesses, contractors, and freelancers to generate IRD-standard documentation instantly.
Is this invoice generator really free?
Yes. It is 100% free with no watermarks or hidden costs. We provide this tool to help NZ businesses stay compliant and professional.
Can I add my business logo to the invoice?
Yes. Upload a PNG, JPG, or WebP in the From section. Your logo appears on the PDF tax invoice. The file never leaves your browser.
Do I need a GST number to use this?
If you are GST-registered (turnover over $60k), you must include your GST number to issue a valid "Tax Invoice." If you aren't registered, you can still use the tool but cannot label the document as a "Tax Invoice" or charge GST. The threshold rules are in our $60,000 GST threshold guide.
Where is my data stored?
Nowhere. All calculations and PDF generation happen inside your browser. We never see your client details or financial data.
I also employ staff. How do I work out their take-home pay?
This invoice tool is for billing clients. Staff wages use PAYE deductions (income tax, ACC, KiwiSaver, Student Loan). Use the PAYE tax calculator for take-home pay, tax codes, IETC, and lump sum PAYE. For GST on your sales, use the GST calculator.
I am a contractor. Is this the same as PAYE?
No. This generator creates tax invoices for clients. Contractors on schedular payments use withholding tax, not employee PAYE. Use the withholding tax calculator, then invoice with this tool. Classification issues are covered in contractors vs employees.
